What we collect and why

• Account data (name, email address, login credentials, plan) — to create and secure your account and provide the Service. Legal basis: performance of our contract with you.
• Document content you submit (pasted text, photos of letters, PDF uploads and the AI analysis, tasks and deadlines produced from them) — to deliver the core feature you signed up for. Legal basis: performance of our contract.
• Usage and telemetry (documents analysed, feature usage, log data, device identifiers, IP address) — to enforce plan limits, keep the Service secure, prevent fraud and improve the product. Legal basis: legitimate interests.
• Support messages — to answer your questions. Legal basis: legitimate interests and contract performance.
• Marketing preferences — only where you have opted in. Legal basis: consent, which you can withdraw at any time.
• Records we must keep (e.g. transaction records) — legal basis: compliance with a legal obligation.

Who we share it with

• Service providers and subprocessors — cloud hosting, database and file storage, AI model providers that process your document content to generate summaries and tasks, error monitoring and support tooling. They act on our instructions under contract.
• Stripe, our payment provider, for checkout, subscription management, payments, tax calculation and invoicing.
• Professional advisers such as our lawyers and accountants, where necessary.
• Authorities, where we are required to disclose data by law.

We do not sell your personal data, and we do not use your documents to train our own models.

How long we keep it

Documents and analyses are kept while your account is active so you can find them in your library, and you can delete any document at any time. If you close your account we delete or anonymise your data within 90 days, except records we must retain for legal, tax or accounting purposes.

Security

We apply appropriate technical and organisational measures, including encryption in transit and at rest, private storage buckets, row-level access controls so users can only read their own records, and least-privilege access for our team.

International transfers

Our providers may process data outside your country, including in the United States. Where data leaves the UK or EEA we rely on appropriate safeguards such as UK/EU Standard Contractual Clauses or an adequacy decision.

Your rights

Depending on where you live, you may have the right to access your data, correct it, delete it, restrict or object to processing, receive a portable copy, withdraw consent, and complain to your data protection authority (for example the ICO in the UK or your EU supervisory authority). Email privacy@aiadminlife.com and we will respond within one month.

Cookies

We use essential cookies and local storage to keep you signed in and to keep the Service secure — these are required for the site to work. Any analytics or marketing cookies are only set with your consent, and you can change your mind at any time through your browser settings or by contacting us.
